    Director of Facilities, Leasing and Fleet

    The purpose of this position is to manage multiple functions of leasing, building operations, fleet and maintenance for multiple properties.

    Responsibilities

    Leasing

    • New and renewal lease negotiation and analysis
    • Preparation of all leasing documentation, including but not limited to, leases, amendments, final lease submission packages
    • Conduct periodic market tours
    • Prepare, for Executive Board review, the required weekly leasing reports.
    • Prepare, the leasing portions for the annual budgeting process
    • Maintain company’s leasehold portfolio software for leased and owned properties
    • Assist where needed in the tenant build-out process
    • Coordinate market survey efforts
    • Work within the local brokerage community to develop prospects and to accumulate pertinent market data
    • Regularly tour vacancies to ensure "rent ready" condition
    • Professional interaction with Executive Management
    • Participate in property tours as needed for investors and lenders
    • Work closely with the respective Director of Construction, General Manager and/or Property Manager responsible for the tenant build-out process
    • Maintain and manage positive relationships with brokers, landlords, tenants and internal/external clients.

    Facilities

    • Directs company facilities maintenance requests through work order reporting software
    • Coordinates, oversees and/or manages repair and maintenance work assignments performed by company technicians, vendors and contractors performing building maintenance, landscaping and janitorial work.
    • Reviews work orders to ensure that assignments are completed.
    • Responsible for facilities and equipment inspections and reports.
    • Obtains and reviews price quotes for the procurement of parts, services, and labor for projects.
    • Manages vendor relationships and trains vendors on work order and billing procedures.
    • Responsible for invoice processing and accuracy of cost center coding.
    • Oversees compliance and reporting as it relates to facilities
    • Prepares budget and makes recommendations for capital leasehold improvements and equipment replacements

    Fleet

    • Manages the operation and maintenance of the organizations motor vehicles
    • Oversees compliance and reporting as it relates to facilities and fleet
    • Develops and implements vehicle and equipment preventive maintenance programs.
    • Maintains relationship with company’s vehicle leasing partner
    • Manages fleet asset software(s), including telematics, fuel management, registration processes, appearance and service intrervals

    Qualifications

    • Healthcare experience a strong plus.
    • Experience with work order/ticketing system a plus.
    • 50% travel required, 25% of this is overnight travel.
    • Bachelor’s Degree required.
    • Minimum of four years of related experience and/or training.
    • Prior supervisory experience preferred.
    • Driver's license may be required.
    • Excellent written and verbal communication skills.
    • Strong organizational and analytical skills.
    • Ability to provide efficient, timely, reliable and courteous service to customers.
    • Ability to effectively present information.
    • Ability to respond effectively to sensitive issues.
    • Requires advanced knowledge of financial terms and principles.
    • Ability to calculate intermediate figures such as percentages, discounts, and commissions.
    • Ability to comprehend, analyze, and interpret complex documents.
    • Ability to solve problems involving several options in situations
    • Working knowledge of leases, contracts and related documents.
    • Decisions made with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines.
    • Responsible for setting work unit and/or project deadlines.
